This checklist is a partial guide only. Please consult the Mentor Binder for a more complete description of the Director of Production duties.

PREPARING FOR THE CAPPIES SEASON

_____ For more information, read the mentor binder.

_____ Log into C.I.S., to make sure you know how to do it. 

_____ Check your C.I.S. "Personal Information" page to make sure you contact information is correct.

_____ Check emails at least twice weekly and respond to emailed inquiries from Program Officials in a timely manner.

PRIOR TO YOUR CAPPIES SHOW

_____ Set a time for the Cappies Show that will allow final bows to take place not later than 10:30 PM. 

_____ If your chapter allows, decide whether to request a cap on Critic attendance—and, if so, email the Program Director.

_____ Secure seats for the Critics and Mentors listed on your attendance list (sent via email). These complimentary seats should be in a reserved location.

_____ Organize a booster parent or school representative to act as the usher for the Critics and
Mentors. They will usher them to and from the theater for pre and post-show discussions. They will also provide communication between the Show Director and the Critics, should there be any questions.

_____ Designate a Cappies Room, where Cappies will have their pre, intermission, and post-show discussions and confirm that it will be available from 45 minutes before curtain to 45 minutes after bows..

_____ Contact boosters or someone who will provide dinner or refreshments for the Cappies Critics and Mentors assigned to your production.  

_____ If necessary, send any maps or notes to the Program Director to be sent out to the Critics reviewing your show.

_____ Use the 14-day advance notification of Cappies attendance to set aside tickets—recommended to be in the center, starting in the fifth row. 

_____ Use the 48-hour attendance notification to adjust the number of tickets. 

_____ Complete the Awards Category Eligibility Form. 

_____ Confirm that students eligible for technical awards have completed their tech boards and/or documentation.

_____ Be sure you have secured production rights for your show with specific notes about any changes requested.  Cappies may request verification of publisher permission for any changes in a production which might otherwise violate the publisher's contract.

DAY OF CAPPIES SHOW

_____ Provide signs from parking lots to Cappies designated room.

_____ Rope off the Cappies seating area, and ask a theater usher to prevent non-Cappies persons from sitting there. 

_____ Remind parents, students, and others from your school that they may not enter the Cappies Room during intermission or after the show. 

_____ Provide printed programs and reserved tickets for Critics and Mentors.

_____ Provide Award Category Eligibility form for Critics and Mentors.

_____ Five minutes before curtain, ask the Usher to seat the Critics and collect unclaimed Cappies tickets for resale.

_____ Make sure the intermission lasts at least 15 minutes, enabling Mentors and Critics to have a 10-minute discussion.

_____ During intermission—and again after the show—be available (or ask an Assistant Director or Stage Manager to be available) to answer any questions a Mentor may have.

_____ If any post-show on-stage recognitions are planned, precede them with an announcement inviting Mentors and Critics to exit the theater first.

_____ Remind your cast and crew not to greet any Critics after the show.

AFTER THE SHOW

_____ Check email for reviews and share them with your cast and crew. 

_____ If your region requests production photos, send those in. 

_____ If you deem any reviews unsuitable for distribution to students, notify the Advisor and Program Director, in an email that identifies those reviews.
